Hi Sandra,

 

As follow-up to my previous email, here is summary of what we would need from the Town to complete the grant application process:

  • Grant commitment letter from the Town Manager:  Sample support letter attached (should be printed on Town letterhead). 
  • Need at least 3 letters of support:  Attached is a sample.  We need at least 3 but it would be good to get these from as many departments as we expect to be involved in the process.  For example, DPW, Planning, Health, Conservation, Police, Fire, etc.  Again, these should be printed on Town/department letterhead
  • Need to establish a local Point of Contact:  Need a Town representative to serve as the local point of contact for the project. This person would coordinate activities and communications between the consultant and other Town departments.  It can be pretty much anyone, but we need to provide a resume, qualifications, and/or summary of experience.  Other towns have used a variety of positions (e.g. Town Planner, Town Engineer, DPW Director, Town Manager, Conservation Agent, etc.). 
  • Copies of other existing plans/documents that would help support this planning effort:  For example, Master Plan, CIP, Open Space Plan, Hazard Mitigation Plan, etc. that we can pull from to beef up the application.  I did find the Town’s Hazard Mitigation Plan that was updated in 2015, as referenced in the draft support letters. 

 

I’ve also attached a sample grant application for the Town of Lunenburg.  Though yours will be updated somewhat, many of the contents will remain similar or even the same.
